CHAPA User Guide

Welcome to CHAPA (Content Hub for Analytics and Partnership Administration) – your workspace for tracking brand partnerships, deliverables, and revenue. This guide is designed to be skimmable: jump to the section you need, scan the checklists, and keep moving.

Getting Started

1. Account Checklist

  • ✅ Visit chapa.uk and click Get Started
  • ✅ Choose Email (OTP verification) or Continue with Google
  • ✅ Confirm the 6-digit verification code sent to your inbox
  • ✅ Complete profile basics: name, timezone, default currency
  • ✅ Invite teammates (if applicable) from Settings → Profile

Heads-up: Every new workspace gets a 14-day full-feature trial. No credit card is required until you’re ready to subscribe.

Managing Deals

Create a Deal (5 steps)

  1. Click “New Deal.” Use the dashboard shortcut or Deals page.
  2. Choose a Brand. Search existing brands or create a new one inline.
  3. Enter Deal Basics. Name, currency value, payment status, start/end dates.
  4. Add Deliverables. Title + due date + status; add as many as needed.
  5. Save & Track. Drag the card through stages or edit details any time.

Deliverables without chaos

  • Use the checkbox list in the deal drawer to mark progress.
  • Deadlines auto-populate the dashboard + email reminders.
  • Need extra context? Add notes or attach brief files per deliverable.

Tip: Storing the signed contract and creative brief directly on the deal keeps your team in sync (no more hunting through drives).

Layer filters to zero in quickly:

  • Stage – pipeline focus
  • Brand – view every deal for a single partner
  • Date Range – created, start, or end dates
  • Value Range – spotlight high-value work
  • Keywords – search across deal names, notes, and brands

Save frequently used filters via browser bookmarks for one-click reports.


Managing Brands

Add or Import Brands

  1. Brands → New Brand
  2. Enter name, main contact, and optional website/logo.
  3. Add notes (e.g., preferred deliverables or pricing history).
  4. Save – the brand is instantly available when creating deals.

Brand Insight Cards

Archived brands disappear from active lists but keep their history for reporting. Restore any time from the “Archived” filter.


Working with Attachments

Upload Flow

  1. Open the deal or brand record.
  2. Scroll to Attachments (or Files for brands).
  3. Drag-and-drop files or click Upload.
  4. Wait for the upload checkmark—files are instantly versioned.

Security: Files live in private, encrypted storage (DigitalOcean Spaces). Links expire automatically after 7 days; regenerate whenever you need to re-share.

Managing Files

  • Rename or delete via the contextual menu.
  • Click a filename to download instantly.
  • Use the Share icon to copy a temporary read-only link for clients.

Exporting Data

Quick Export Checklist

  • Go to Deals → Export.
  • Pick a Start Date, End Date, and/or Stage (optional).
  • Click Preview Count to validate the selection.
  • Download the CSV; column order is optimized for spreadsheets.

Use spreadsheet filters or BI tools (Looker Studio, Airtable, etc.) to slice exports any way you like.

SQL/backups aren’t exposed in settings—contact support for data portability requests.

Billing & Subscription

  • View current plan, trial days remaining, and renewal date.
  • Update payment method or download invoices (Stripe Customer Portal).

Tips & Tricks

  • Use drag + keyboard. Drag deals between columns or press Shift + K/J to move up/down lists, then E to edit.
  • Pin favorites. Star high-priority deals to surface them first in widgets.
  • Collaborate via comments. Mention teammates with @name inside deal notes for quick handoffs.
  • Audit trail. Every change (deal stage, value edits, uploads) is logged in the activity feed.
  • Bulk updates. Multi-select deals from the list, then batch-change stage or payment status.
